    The Role:

    The Executive Assistant works with the Executive Director, HR People + Strategy, to provide administrative support and coordination of implementation efforts to fulfill the strategic plan and operations of the association. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

     

    Assist the Executive Director as needed with all HR People + Strategy activities, particularly the administrative functions, to include support of membership and programming initiatives.  Serve as liaison to the Board on appropriate matters.  The role requires discretion, independent judgment and building collaborative working relationships with staff at all levels and across all departments.

    Responsibilities

    Your Day:

    • Maintain a high level of professionalism and a strict level of confidentiality; anticipate and facilitate needs of Executive Director.
    • Serve as board Liaison; manage Board communications, coordinate requests from Board members as required.
    • Plan and attend all Board of Directors meetings.  Prepare meeting minutes and maintain official corporate records.
    • Coordinate the preparation of materials and create presentations for Executive Director.
    • Assist with developing/managing annual budget, strategic plan, and annual goals for the organization.
    • Assist in event planning and managing conferences, as needed.
    • Conduct research and produce reports, as needed.
    • Coordinate all accounting, audit and tax processes.  Work with accounting department and vendors to resolve accounts receivable/payable issues.
    • Assist with developing/managing annual budget, strategic plan, and annual goals for the organization.
    • Maintain the Executive Director's schedule, calendar, and email, as requested.
    • Manage travel and meeting arrangements for Executive Director (domestic and international) and process Executive Director expense reimbursements.
    • Prepare and update organizational communication and policies.
    • Handle administrative tasks (supply orders, copying/filing, mail distribution etc.)
    • Coordinate and plan annual team building activities.
    • Assist in maintaining and updating organization website.
    • Coordinate across all departments on various needs to support operations and initiatives.

     

    Qualifications

    Must Haves:

    • High school diploma or equivalent;  Associate's or Bachelor's degree preferred.
    • 3 years’ of experience in administrative support roles; 5 years’ of experience in admninistrative support roles with a minimum of  2 years’ providing executive-level administrative and Board support preferred.
    • Experience working with Boards and committees.
    • Demonstrated experience with calendar management, making travel arrangements, and managing expense reports.
    • Budget tracking and coordination experience.
    • Experience preparing and crafting presentations.
    • Communication and strategic planning experience.
    • Experience working with and troubleshooting various mediums of technology, including Smart phones, tablets, and laptops.
    • Proficient in Microsoft Suite (Word, Powerpoint, Outlook and Excel) and Sharepoint.
    • Strong customer service orientation. Attention to detail and ability to handle confidential and sensitive information critical.
    • Superb written and oral communications skills required.  Must be able to work closely with all staff and Board of Directors.
